1. CONTRACT FOR SPACE
Right of acceptance: Submission of this contract/application with or without fee shall not guarantee participation in the show. The Elmwood All Outdoors Show committee reserves the right to accept or deny any contract/application.
The price for a 10-foot booth space is $65 prior to February 15, 2018, $100 thereafter. First-come, first served in reserving space. In the event of a cancellation, no refund will be issued after February 15, 2018. (1/2 of the rental fees will be refunded if cancelling between February 1st and the 14th)
3. BOOTH SPECIFICATIONS
Displays: Promotion of your product or service must not infringe on other exhibitors. Backdrops are limited to 8 feet in height. Displays along side(s) of the booth that are made of solid materials must not project more than 2 feet from the back line and may not exceed 4 feet in height. No nails or screws may be driven into the walls, floors or ceilings. No tape is to be applied to the floors or walls. Table drapes will not be furnished by the show. Exhibitor information is limited to an
exhibitor’s rented space. Booth space will range from 10x8 in the gyms to 10x5 in the hallways.
Guns and ammunition: No firearms or ammunition are permitted in the school at any time. Alcohol, smoking: No alcohol is permitted in the school at any time. Smoking is not permitted within the school.
4. BOOTH OPERATION
Set-up: Booth set-up is to be completed on the Friday before the show, March 2, 2018, between 5-8:30 p.m. We will open the doors to vendors on Saturday morning at 7:00 a.m.
Manning of booths: Exhibitors should be in booths one-half hour before opening and during all show hours.
Tear-down: Removal of merchandise should not be done prior to the scheduled closing time.
Conduct: Any exhibitor or attendee deemed to have violated the smoking or alcoholic beverages rules, or deemed to be creating a public nuisance, will be removed from the show. In such cases, no refunds will be made of any fees paid. Violation of any rule or guideline may also result in removal from the show without refund.
Raffles: Raffle tickets may be sold by not-for-profit organizations only and only in their assigned booth space. There will be a raffle surcharge of $50, however, that fee will be waived with the donation of a silent auction item valued at $50+
NO TIME-SHARE GROUPS.
5. SHOW HOURS
Saturday, March 3, 2018 – 9 a.m. to 4 p.m.
Sunday, March 4, 2018 – 9 a.m. to 4 p.m.
6. RAFFLE DONATION
Your raffle donation is appreciated and can be turned in Friday evening at registration at the check-in desk. If possible, please let us know what you will be donating in advance of the show so we can better promote raffle items.
After set-up on Friday, vendors should park on the west side of the school.
A security guard will be provided Friday and Saturday nights until opening the next day. However, the Elmwood All Outdoors Show will not be responsible for damage, theft or loss of merchandise or other belongings at any time.
All exhibitors are responsible for the calculation and payment of all taxes applicable to any and all sales. The Elmwood All Outdoors Show assumes no responsibility for taxes or their payment.
10. ADDITIONAL PROVISIONS
The Elmwood All Outdoors Show reserves the right to alter or change any of these guidelines.
11. PARTICIPANT WAIVER
The exhibitor agrees to indemnify and hold harmless the Elmwood All Outdoors Show, its officers, committee members, agents and assignees during all sponsored functions. The exhibitor specifically releases the Elmwood All Outdoors Show and Elmwood CUSD # 322 and its officers, employees and agents from any and all claims, which may arise out of accident or injury while participating in the Elmwood All Outdoors Show.
